Frequently asked questions
From the Users page, click "Invite Client" and enter their name and email. If they don't have a Kyria account yet, we'll send them a Magic Link to set one up - no password required. If they already have an account, we'll connect them as your Client right away.
Kyria is a shared workspace where businesses, customers and other organisations complete work together using Actions instead of fragmented email conversations. Every Action keeps together: * Requirements * Documents * Conversations * Progress * History
They'll receive an email with a secure sign-in link. Clicking it logs them straight in - no password to create or remember. From there, they'll set up two-factor authentication once, and they're ready to start working with you.
Email tells you a conversation happened. Kyria tells you whether work has been completed, and whether anything is still pending. Instead of searching through long email chains, every request remains organised in a single Action with full visibility of: * outstanding work * completed work * attached documents * chat * audit history
A Client only sees the Actions assigned to them or sent by them to your business - never your team list, other Clients, invoices, or unrelated conversations. Their access is deliberately limited to just the work you're doing together.
No. Kyria focuses on structured collaboration between: * Internal teams * Businesses and customers * Businesses and other organisations Rather than managing projects, Kyria manages the work exchanged between people and organisations.
Instead of typing a password, you can request a one-time sign-in link sent to your email. Clicking it logs you in immediately. It's the default way Clients and invited teammates sign in, and it's just as secure as a password - each link only works once and expires quickly.
An Action is a shared workspace for completing a specific piece of work. Examples include: * Requesting documents * Requesting information * Reviewing a contract * Approving an invoice * Completing onboarding * Internal approvals Each Action keeps everything related to that request together.
The first time you sign in, you'll be asked to scan a QR code with an authenticator app (like Google Authenticator or Authy) and enter the 6-digit code it generates. From then on, you'll enter a fresh code each time you sign in. 2FA is required on every account - it's what keeps your business data safe even if a password is ever compromised.
OOB verification is an extra layer of trust between you and a connected business or Client. One side requests a one-time code and the other reads it back, confirming you're really talking to who you think you are. It only unlocks sensitive features like Action Chat and document sharing - it's never required just to log in or send a basic Action.
Yes. Each Action supports multiple document uploads. Businesses can also define document Requirements so everyone knows exactly what is needed. A document must not exceed 10MB.
Yes. Every Action has its own conversation. This keeps discussions attached to the work instead of being scattered across email or lost among the endless chats of other messaging tools.
Only when you or the other side want to use Action Chat or share documents on an Action. You can view, submit, and manage the basics of any Action right away - verification is a deliberate extra step, reserved for the more sensitive parts of a connection.
No. Customers use a single Kyria account to collaborate with every business that uses Kyria. Instead of managing multiple client portals, customers have one workspace.
Open the Action or connection that needs it and click "Verify Connection". One side requests a code and shares it with the other party through a trusted channel, like a phone call; the other side enters that code to confirm. Once verified, Action Chat and document uploads unlock for that specific relationship.
Yes. A client may be linked to more than one business using a single Customer Portal.
An Action is a task one business sends to another, or to a Client. It moves through a simple lifecycle: Open, Submitted, then Completed (or Rejected and resubmitted). Either side can add checklist items, comments, and documents along the way, and you'll be notified at every step.
A Business User can create and manage Actions with your internal team and your existing Clients, view your business's invoices and documents, and message connected businesses. They can't invite new Clients or start new business connections - those stay with a Business Admin.
A Business Admin has full access: inviting Clients and new Business Users, connecting with other businesses, managing team roles and permissions, and everything a Business User can do. Every business has up to two Business Admins.
